Data Sharing

Our Data Policy

When an individual takes part in the Inspiring Choices programme activities, we require some personal information. All data we collect for this project is treated with care and confidentially as required by the General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. We use this information to provide evidence of attendance to our funding body, and to monitor the impact of Inspiring Choices. 

Accurate tracking of all learners engaged in the Uni Connect programme is a condition of funding set by the Office for Students. We will share the personal information we collect and process with the Office for Students, and Department for Education (who fund our activities) and organisations providing specific services e.g., HEAT (Higher Education Access Tracker) secure database. We will only retain personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. 


What rights do you have in relation to your data?

You have the following rights regarding your personal data which is processed under the lawful basis of public task:

  • You have the right of access to your data
  • You have the right to correct your data if incorrect
  • You have the right to ask for a copy of your data to be transferred to another organisation 

How long do we keep personal data for?

To determine the appropriate retention period for personal data, we consider the amount, nature, sensitivity, the potential risk of harm from unauthorised use or disclosure of your personal data, the purpose for which we process your data and whether we can achieve those purposes through other means, and the applicable legal requirements. Once we no longer need the personal data we have collected or reached the date of deletion it will be securely destroyed in accordance with the York St John University Records Retention Schedule.
